Clubhouse Reservation Policy
The Gatherings at Quarry Place has a multi-functional clubhouse for use by all residents. It has several distinct areas: an exercise room, a kitchen, a great room with a big screen TV and piano, and a cozy library with a table. The great room also has two rectangular tables with armchairs where people can play games, do crafts, sit to eat or chat, etc. The variety of spaces allows more than one group to use the building simultaneously.
Regulations
The HOA Board of Directors financially sponsors several events each year: a pool opening party, a pool closing party, and a holiday party. They also support the scheduling of two regular monthly activities: bingo (held on the third Tuesday evening each month) and poker (held on the second Tuesday evening each month).
Residents as individuals or in small groups may drop in to use the clubhouse without a reservation. They may want to play a game in the library or the kitchen or use the TV in the great room. They cannot expect exclusive use of the clubhouse.
Residents have use of the clubhouse for personal activities such as book clubs, game playing, etc. at no charge to invitees, provided that the unit owner informs/reserves with the management company and there are eight or fewer people in the group. When residents reserve the clubhouse for these small group activities, they should understand that the booking is not exclusive, that others may be using the clubhouse at the same time.
Residents may propose and schedule social events for groups of residents. They may become regular activities like the monthly bingo and poker games, or they may be one-time activities that are not repeated regularly.
The HOA Board of Directors reserves the right to exclusive use of the clubhouse for its executive level meetings. These will be entered on the calendar.
If any resident wants to use the clubhouse for an activity that requires quiet, or wants guaranteed exclusive use of the clubhouse, they may rent the clubhouse by following the applicable procedures and paying the security deposit and accompanying fees.
Procedures
Residents must follow procedures for reserving the clubhouse for both personal and community activities. The spaces in the clubhouse which can be booked are:
- The Kitchen
- The TV area
- The Table area
- The Library
To book an area for a personal activity, a resident must send an email to the appropriate person at the management company, asking for one of the above locations and stating the date and time for the request. The management company should respond within 3 business days and enter the reservation on the calendar visible to community members on the Website.
When planning an activity intended for The Gatherings community members, the organizer should check the community calendar and find a date when the clubhouse is available. Some activities can be held when other groups are using another area of the clubhouse {for example crafters using the table area), others may require the exclusive use of the space {a wine tasting event.) The booking procedure would be the same: send an email to the management company requesting one or all ofthe spaces and include the date and time. The management company should enter the activity on the calendar and respond to the requester within three business days.
It is important to remember that booking an area for a personal activity is not the same as renting the Clubhouse. Booking is a non-exclusive use and Renting is an exclusive use.
